Subscription Management, Pause & Cancellation Policy Guide

Print Life Software provides a self-service subscription management and billing lifecycle architecture powered by Stripe. Whether updating payment methods, reviewing past subscription receipts, temporarily pausing an account during seasonal lulls, or closing a workspace, shop owners have direct control over their billing preferences. This guide outlines the official subscription policies, self-service procedures, data preservation guarantees, and account lockout resolution protocols.

1. Feature Scope & UI Navigation

Subscription preferences, billing invoices, and account lifecycle controls are managed through the following dedicated navigation paths:

Supported Capabilities

  1. 100% Self-Service Account Management: Shop owners can pause, cancel, upgrade, or update payment information at any time without waiting for customer support.
  2. Access Retention Through Period End: When a cancellation is submitted, the subscription remains active with full unrestricted access through the final day of the current prepaid billing period.
  3. Data Preservation Guarantee: Cancelling or pausing a subscription does not purge shop data. All customer records, pricing matrices, quote archives, production notes, and artwork mockups remain securely saved in your database for seamless reactivation.
  4. Temporary Subscription Pausing: Seasonally fluctuating shops can pause their subscription to halt recurring payments while keeping all historical configurations intact.
  5. Instant Official Stripe Receipts: Every payment, card update, pause event, and cancellation generates an automated receipt dispatched directly from Stripe to the account owner's billing email.

Mandatory Operational Boundaries & Legal Policy Notice

[!IMPORTANT] Exclusive Official Method of Cancellation & Stripe Receipts
Self-service through the Stripe Customer Billing Portal inside Account Settings is the only official authorized method to cancel or pause your subscription. All subscription processing and cancellation confirmation emails are issued directly by Stripe.

Policy Notice: Sending emails, text messages, phone calls, leaving voicemails, opening general support tickets, or sending social media direct messages does NOT process or constitute an official cancellation request and will not stop recurring billing. If you attempt to cancel but do not receive a confirmation email from Stripe within 24 hours, your self-service attempt was incomplete, and you must report it immediately on our Support Page.

  • Prepaid Billing & Refund Policy: Subscriptions are prepaid in advance and are non-refundable for partial billing periods. Once a billing cycle begins, the charge covers access through the end of that billing month.
  • Owner-Only Security Access: Only the primary shop owner's credentials can access the Stripe Customer Billing Portal. Secondary staff accounts and sales reps cannot modify billing settings or cancel subscriptions.

4. Business Logic, Formulas & Billing Rules

Prepaid Billing Period Access Formula

Upon cancellation, the platform calculates remaining active workspace access:

$$T_{\text{access_remaining}} = D_{\text{cycle_end}} - D_{\text{cancellation_timestamp}}$$

$$\text{Workspace Status} = \begin{cases} \text{Active (Full Operational Access)}, & \text{if } \text{Current Date} \le D_{\text{cycle_end}} \ \text{Lapsed (Read-Only Archive)}, & \text{if } \text{Current Date} > D_{\text{cycle_end}} \end{cases}$$

Where:

  • $D_{\text{cycle_end}}$ is the final calendar day of the active monthly or annual billing period already prepaid by the merchant.
  • No partial mid-month charges or prorated refunds are issued.
